We know you can’t wait to be in the beautiful Northwoods at Clearwater Camp this summer and we are very excited to see all of you! As an extension to our Camper Family Guide and The Family Handbook, the information below provides the latest important updates for the 2025 season.

TRAVEL TO AND FROM CAMP:
Completion of your travel form is very important, and it is due by Thursday, May 1, 2025. Please consult the 2025 Family Handbook for more details about Traveling to and from Camp. When completing this form in your CampMinder account, you will choose one of three icons for arrival and departure information: bus, car or plane. Once you have chosen a travel method and filled out the specifics, click on the “assign baggage” button and use the drop down arrow for options. Be sure to complete that section or it will tell you that your transportation form is “incomplete”.

Luggage Tags will be mailed to you in early May and must be attached to all luggage whether it arrives by bus, car, or is shipped ahead. These tags are very important to make sure that your camper’s luggage gets to the right location.  If you do not receive your tags by June 1st, please email christy@clearwatercamp.org.

Luggage:
Arrival at Camp (Monday, June 16 or Monday, July 14) – Clearwater requires that campers’ luggage arrive PRIOR to opening day. You have two options:
1) Recommended: Use SHIP CAMPS to pick up your daughter’s luggage from home and deliver to Clearwater Camp. EXCEPTION: If a parent or guardian is accompanying the camper and flying through O’Hare, they may meet the chartered bus with their luggage.
2) Personally deliver it to camp prior to opening day, dropping it off at the maintenance building outside of camp. We will accept luggage up to one month before camp begins, and we recommend dropping it off no later than the day before camp starts.

ARRIVAL BY CAR on Opening Day: 
Please note that camper drop-off is between 2:00 pm and 4:00 pm. As opening day approaches, we will notify you of a 20-minute time slot for check-in at our Main Office on Hwy 51, prior to going down to camp. Please arrive at the Highway 51 Office during your scheduled time, which will eliminate long lines for check-in with the camp nurse and at the lice check station.

DEPARTURE BY CAR:
There are no assigned time slots for departure. Plan to arrive to pick up your camper between 9 and 10:30 am.

CLEARGEAR ONLINE STORE:
We have recently opened an online store for adult-sized ClearGear. Selection is somewhat limited at this time, as all products are made to order and shipped to your home. We will still have logo items available in the Camp store, but provide this option to families who may want to get a few items ahead of time. Check it out here.

THE CAMPANION APP
This summer we’re using a new iPhone app called Campanion. It helps with your pre-camp preparations, and during the summer you get fun updates and photos of your camper right on your phone.
To get started, follow these simple steps:

  • Download the Campanion app from the Apple app store
  • Important: Use your CampInTouch Account email address and password to log in (only enrolled families have access to Campanion)
  • Complete forms online and upload completed paperwork right in the app
  • Opt-in to receiving text messages in your CampMinder account
  • Upload a training photo of your child, which enables the app to send you photos of your camper over the summer
  • Ensure you have push notification enabled within your phone settings so you can receive important updates from camp all summer long!

May 2, 2024 Update: Sending Packages During Camp
We have amended our policy about campers receiving care packages while at camp. So many of you take advantage of online shopping sites to send something extra to your campers during the summer that our office is overwhelmed with boxes almost every day. So we ask that, going forward, to limit “care packages” to one per session, and that these “care packages” are, indeed, packaged with love and care and sent directly from a family member or friend (not Amazon, for example). And we encourage you to include things that your camper can share with their entire cabin – like a game, a craft project, silly costume items, even a bottle of bubbles.

[Note: The usual prohibitions apply, such as not sending food, candy, electronics, etc. Important items that your camper needs and may have forgotten can be sent to the attention of the Clearwater Office.]

Campers and families are invited to attend a Pre-camp Zoom meeting with Kat and Sarah, on Sunday, May 18 from 5:00 pm to 6:00 pm (central time). Prior registration is not required, just click the meeting link. If you cannot attend in person, the recording will be made available after the meeting.

We are thrilled to have some big updates for our End-of-Camp events for Summer 2025.  We have moved around the schedule so that all of our events are the day before campers leave which hopefully makes it easier for families to attend.  

1st Session Family Day: Wednesday, July 9th

2nd Session Family Day: Wednesday, August 6th.  

Family Day Schedule

Horse Show: 11:00 am

*Lunch will be for campers and staff only.  

Water Show: 3:30 pm

Tennis Tournament Finals: 4:30 pm

Family Cookout: 5:30 pm (RSVP to follow)

Camp Play: 7:00 pm 

  • We ask that visitors be limited to family members only.  And while we know your campers will be very excited to see their dog, we ask that furry family members stay home.  
  • Between the hours of 3:30 and 5:30, campers have the option to take their families to see their cabin or other favorite spots in camp but must first check-in with their counselor so that we know all campers are supervised.  
  • We will ask for families who are planning to attend the Family Cookout to RSVP during camp so that we can make sure we have enough food for everyone.  

*A Note for our Seven-Weeker families: If you would like to spend more time with your camper, we would recommend either Friday, July 11 or Saturday, July 12.  Families are welcome to take their camper out of camp on these days for the morning or afternoon.  We ask that you arrange the visit with camp leadership in advance.  

CAMPER MEDICATION POLICY:
Any prescription medications or regularly-administered OTC medication must be called into the local camp pharmacy by your doctor in order for campers to receive medication during camp.  The Health Care Team would like to point out the process for ALL prescription medication and MANY non-prescription medications for your camper (a detailed description is in the 2025 Family Handbook, page 6):
● Your doctor sends the prescription(s) to Trig’s pharmacy in Minocqua: 715-356-9449
● You provide Trig’s pharmacy with your insurance and payment information.
● Trig’s Pharmacy packages your camper’s medication(s) for a nominal cost.
● Clearwater staff picks up the pill packets before arrival day.

The only exception to this requirement is if dispensing guidelines for a particular prescription require your camper to bring that medication with them to camp. Required Forms
We know we ask you to submit a lot of forms!  While we have tried to consolidate our requests for information as much as possible, we recognize there are lots of forms and we send multiple emails and many reminders.   Keep in mind all of these requests for information are so that we can best support your camper.  Please make an effort to get your forms submitted as you complete them; the more time we have to review your responses, the better prepared we will be (and the fewer reminders you’ll get from us)!

The health and wellness team relies on having access to all information contained in the following required forms:

  • Health History
  • Physician’s Examination
  • Immunization
  • Permission to Treat
  • Insurance Card
  • Consent for Medical Testing

Vitamins and Supplements 
Campers may not take vitamins and supplements (gummy or otherwise) while at camp. Exceptions would be supplements due to a diagnosed deficiency prescribed by a healthcare provider and filled by the Trig’s pharmacy in a pill packet (e.g., iron, vitamin D, potassium, or magnesium).

Communicable Disease Updates
The health and safety of our campers and staff are a top priority.  Although the COVID pandemic may be behind us, we will continue to monitor for COVID and other communicable illnesses.

The major key to success in keeping communicable illnesses out of camp is to work together to do everything we can to make sure everyone arrives at camp healthy. Please contact camp’s healthcare team for guidance if your camper experiences a fever of 100.4 or higher or has symptoms of illness (fever, chills, cough, vomiting, diarrhea, etc) during this time.

During camp, we will not be testing for COVID or other illnesses unless requested by a camper or counselor. We ask everyone to fill out the permission to test form in the case of emergency care (blood glucose testing) or personal request for testing. If any communicable diseases are discovered while at camp, the healthcare team will work with campers and staff to mitigate spread of illness and communicate with camp leaders to get the necessary information out to families as needed.

Fight the Bite
We are excited to announce that Clearwater has been selected by the Alliance for Camp Health (ACH) to participate in “Fight the Bite” U.S. Tick-Borne + Lyme Disease Initiative. With the generous support of a $153k Grant from SC Johnson, this initiative will extend the reach of Lyme Disease and tick prevention through research, educating for prevention of tick bites, and creating TickWise spaces.

In the first year of the initiative, ACH will work with ten camps in Wisconsin to educate more than three thousand staff in the provision of care, benefiting upwards of 16,000 children. The research obtained and education materials created in the first year of this initiative will be developed in collaboration with medical providers who have an interest and specialization in vector-borne conditions.

As a participant in the initiative, we will share educational resources regarding tick prevention with our camper families and staff as we get closer to summer.  Then, during camp, we will be collecting and submitting anonymous data to the Alliance for Camp Health regarding prevention activities, tick encounters, tick bites, post-exposure prophylaxis (PEP), and subsequent treatment if provided.

Master Site Plan

Clearwater launched an ambitious plan to update and upgrade our entire campus for the benefit of our campers today and well into the next 90 years!

Last summer (2024), our campers enjoyed using the new sports courts, Welcome & Wellness Center (featuring a new mainland storm shelter!), and expanded activity spaces on the waterfront and next to the new WW Center.
